Function BCP Rep
[ Stage A]
The business continuity process includes the above stages. The function head must identify one of the team members as the Function BCP Rep and the other as the BCP/DR Test Rep as a posture to exhibit no single point of failure in representation.
[Stage B, C] Note the head count distribution data, contractual and dependency vital records and store them in the share point. Make a list of important core activities in the function and the other activities of the function which are operational in nature. Please refer to (GBC Library: G-107 < Head Count Distribution Vital Record > , L-4 < Reduced Resource Impact Analysis (RRIA) Template > , L-5 < Reduced Resource Impact Analysis (RRIA) Help Aid > ), Prepare a list of activities, services conducted by the function which require to be considered. Services delivered must be documented for dependencies and contingency plans on the same grounds as the TIM-FR021 < Service Stoppage Recovery > template reference.
[Stage D] The business impact analysis (BIA) is important to identify the impact across the attributes referring to (BIA Qualitative Value GBC Library: G-108 < Additional BIA Guidelines for Lighthouse Users > ) for the function. The Lighthouse screen provides the drop downs as options to select the assessment.
[Stage E] The next action is to decide by referring to systems or platforms used by the function requiring ICT/DR plan. If you are owning applications, systems which are in custody of the Technical Infrastructure team in their Data Centers for hosting systems, applications then you will require a DR plan also. If not, you do not require the DR plan at this stage.
[Stage F] You must undergo a workshop to understand the navigation of the Lighthouse and various features to document your plan. (Contact Globalbusinesscontinuity@techmahindra.com for the orientation of the Lighthouse toolkit).
[Stage G] Complete the documentation of plan in Lighthouse (Refer L85 < Lighthouse Screens Reference Handbook > in Lighthouse GBC Library, L21 < Function Continuity Plan Help Aid > ).

[Stage I] Once you have completed documentation, proceed to sign up the Memorandum of Understanding with Corporate Services providing them the data in templates (Help Aid: GBC Library: L-25 < Memorandum of Understanding Template > , Head count information Vital Record and travelers list maintained in your SharePoint).
[Stage I] Also sign up with the Technical Infrastructure team for System DR upkeep and support with the templates you have already filled up and stored in your SharePoint. [Stage K] Prepare the team with a Plan Walk through drill scheduling and executing the same (Refer help aid GBC Library: L-73 < Plan Walk Through Navigator Help Aid > , L-36 < CIO Applications Recovery > ).
[Stage K] For scheduling, executing & updating the drill based on the drill category (Refer help aid GBC Library: L-29 < Call Test > ,L-30 < Table Top Exercise > ,L-31 < Desktop or Laptop Recovery > ,L-32 < Business Recovery Exercise > ,L-33 < Business.Premise Rec.Drill_&_Extended WFH > ,L-34 < Data Recovery Meeting RPO > ,L-35 < AD File&Print Services Fail Over > , L-36 < CIO Applications Recovery > ,L-37 < Data Communications Services fail over > ,L-38 < LAN – Services & Systems Failover and restore > ,L-39 < ODC Voice Communication Failover > ,L-40 < Appliance Host – Failover Rebuild > ,L-41 < Storage Systems Failover > )
[Stage K] Test the continuity plan for business recovery (Refer help aid: GBC Library: L-32 < Business Recovery Exercise > Scheduling / BR Drill). If you have systems and data backup / restore conduct a Data Restoration Drill meeting RPO (Refer help aid GBC Library: L-34 < Data Recovery Meeting RPO > ).
[Stage M,N] Engage with the internal delivery groups and other support functions to enable the MoU sign up with your function for various services you provide to groups across the organization. (Help Aid: GBC Library: L-25 < Memorandum of Understanding Template > , and reference enclosures with the MoU template for pre-paid services required for testing and crisis support. Supporting annexures referred in Stage H and/or Stage I would accompany with the L-25 template for necessary MOU service provisioning requests.
[Stage O] As an ongoing activity participate in the mechanized call tree tests, customer drills evacuation drills for the location / building. Record learning and risks with mitigation plans in your risk register (Refer [Risk Template: ISG-TP002 on BMS) Follow the Acceptable usage policy (Refer: ISG-PO004 on BMS). [Stage P] As a periodic activity the plan and business impact review must be completed. Regenerate the Function Plan and engage the Function head and team members to walk through the plan annually. Acting on the same is important.
